Each extension comes with Voicemail-to-Email. Any voicemails left for you will get emailed to you as audio attachments. Please take a moment to record your outgoing voicemail greetings, record your name, and change your PIN. The default PIN for new mailboxes is 1973.
- From your softphone, dial *97.
- Enter your PIN when prompted (default PIN is 1973).
- Press 0 for mailbox options.
- From there, you can press:
- to record your Unavailable Message
- An Unavailable Message is played when you are not available to take the call, and you are not otherwise on a call when the message is left. This is the default message played when a caller reaches your voicemail.
- Example: “You’ve reached Jane Smith at Acme
Corp. I’m not available to take your call right now, but please leave me a
message with your name, phone number, and a brief reason for the call. I will
return your call promptly.”
- Your Busy Message is played when you are already on the phone when a call comes in.
- Example: “You’re reached John Smith at Acme
Corp. I’m on the phone and not able to take your call right now, but please
leave me your details and I will return your callas fast as possible.”
- Played only when someone is using the Dial-by-Name directory to search for your extension. For example, if John Smith has extension 201 and someone has found a match in the directory for John, the caller will hear, “For {{Name}}, dial 2 – 0 – 1”.
- Example, “John Smith”
- A Temporary Greeting overrides both the Unavailable Greeting and the Busy Greeting when enabled. This is typically used when you go on vacation or leave. When a Temporary Greeting is enabled, you will be given the option to erase it from this menu item. Once your temporary greeting is erased, your other greetings will automatically take over again. You will not need to re-record them.
- Example: “You’ve reached Jane Smith. Please note
that I am out of the office from today, February 22, through Monday, March 3. This
mailbox is monitored in my absence, but response may be delayed.”
- Your PIN is only used when changed your voicemail. Messages are emailed to you, so you will not need to use your PIN to retrieve them.
- 4+ digits of your choice
The voicemail system can be called at any time; these options are always available.
